Sales Pipeline

A visual Kanban board for moving contacts through your sales process.

The Sales Pipeline is the engine room of your sales department. It provides a visual, real-time representation of your sales funnel, allowing you to identify bottlenecks, forecast revenue, and ensure no contact falls through the cracks.

Customizing Your Pipeline

Every business has a unique sales process. Myra allows you to build as many pipelines as you need. If an imported account has multiple pipelines and no default has been chosen yet, Myra opens the first pipeline in the list so the board is never left blank because of a missing default.

Managing Stages

Go to Settings → Pipeline to edit your stages. Default business stages include:

  • Lead
  • Contacted
  • Qualified
  • Proposal Sent
  • Won
  • Lost

For each stage, you can:

  • Name: Use action-oriented names.
  • Color: Color-code your stages.
  • Stagnation Period: Set a limit (e.g., 5 days). If a card sits in this stage for longer, it will be highlighted.
  • Win Probability: Set a percentage (0-100%) to calculate "Weighted Value" in reports.

Managing Deal Cards

Each card in the pipeline represents a "Deal" linked to a Contact.

  • Board navigation: Swipe sideways on a trackpad anywhere over the board to move across stages. A mouse wheel also moves across stages once the card list under it reaches the top or bottom.
  • Drag-and-Drop: Moving a contact is as simple as dragging the card to the next column.
  • Card Fields: The fields displayed on each kanban card (and on Contacts list rows) are configurable per client by a business admin via the Card display tab in Business → Customize. Available fields include contact name (always shown), email, phone, deal value, AI score, tags, days in stage, upcoming booking, source, and any custom fields defined for the account. Name is always visible; all other fields are optional and orderable.
  • Card Highlights: If a card has an overdue task, a small "Clock" icon will appear in red.
  • Large columns: To keep the board fast, a column shows the first 60 cards and then a Show more button ("Showing 60 of 664"). The count in the stage header is always the true total, not the number currently on screen.

Bulk Actions (Business Users)

Business users can act on multiple pipeline cards at once using Select mode:

  1. Click the Select button in the pipeline toolbar to enter multi-select mode.
  2. Click any cards across any stage to add them to your selection.
  3. Choose a bulk action from the action bar:

Move stage Moves all selected cards to a chosen stage
Assign member Reassigns all selected cards to a chosen team member
Tag Applies one or more tags to all selected cards
Export CSV Downloads a CSV of the selected cards and their fields
Delete Permanently deletes all selected cards (with confirmation)

Business-only: The Select button is visible only to business users. Clients do not see it.

Restricting a Pipeline to Specific People

By default, every pipeline is visible to everyone on the account at whatever pipeline access level they already have. If you need one pipeline kept private — a confidential deal flow, a partner pipeline, a single rep's book of business — you can lock it down.

  1. Open Manage pipelines from the gear icon on the Pipeline page.
  2. Click the padlock icon next to the pipeline you want to restrict.
  3. Add the people who should have access and choose View or Edit for each.
  4. Save.

What happens once a pipeline is restricted:

Who What they get
People on the list Exactly the level you chose — View or Edit — for that pipeline, even if their normal pipeline permission is lower (or set to none)
Everyone else The pipeline is completely hidden. It won't appear in the pipeline switcher, the Contacts pipeline filter, or anywhere else, and none of its contacts are visible to them
The business owner Always full view and edit access — an owner can never be locked out of a pipeline

Access is enforced by the database itself, not just hidden in the interface, so restricted pipelines and their contacts are genuinely unreachable for anyone not on the list.

People given View access see a View only badge on the board and cannot drag cards between stages or edit deals in that pipeline.

Unrestricted pipelines are unaffected — everyone continues to see them at their usual permission level.

Pipeline Filters

Keep your board clean with pipeline-level filters:

  • Source: Filter by where the lead came from.
  • Owner: Show only deals assigned to specific team members.
  • Date: Filter by creation or activity date.
  • Email / Phone: Show only deals that have an email or phone number - or only the ones missing it, so you can spot records that need chasing up.
  • Pipeline Selector: Quickly switch between different pipelines (e.g., New Business vs. Renewals) via the dropdown on the Dashboard or Pipeline page.

Deal value and the call-outcome retainer

The deal value on a card and the Retainer box on a call outcome are kept in step automatically:

  • Enter a value on the deal and any call outcome for that contact that has no retainer yet is filled in with it.
  • Enter a retainer when you log a call outcome and the deal value is filled in if it was blank.

Neither side ever overwrites a number you typed yourself - the sync only fills in blanks.

Bulk actions

Turn on Select, tick the deals you want, then use the toolbar to move stage, assign an owner, tag, export, or delete. The same bulk actions - including Assign owner - are available from the Contacts list.

The Deal Drawer

Clicking a card opens the Deal Drawer, a powerful side-panel that gives you 360-degree visibility.

  • Communication History: See every SMS, Email, and Call recording.
  • Notes & Files: Read internal notes and access uploaded documents.
  • Tasks: Create follow-up tasks or mark items as complete.
  • Timeline: A chronological log of every stage move and field update.

Pipeline Automations (Triggers)

Set "Entry" and "Exit" triggers for every stage:

  • New Lead: Automatically send a "Welcome SMS" and assign the contact.
  • Proposal Sent: Start a "Nurture Workflow" until the proposal is signed.
  • Closed Won: Automatically create an invoice and move the contact to "Client" status.

Best Practices

  • Consistent Value: Always enter a deal value for accurate revenue forecasting.
  • Zero Inbox for Pipeline: Ensure no cards are in a "Stagnant" state by the end of the week.
  • Required Fields: Set "Required Fields" for stage moves to ensure data integrity.

FAQs

Can I delete a pipeline? Yes, but you will be asked to reassign or delete all cards inside it first.

Can one contact be in two pipelines? Yes. A contact can have multiple "Deals" running simultaneously across different pipelines.

How do I see "Lost" deals? Use the filter at the top to switch between "Open," "Won," "Lost," or "All" views.

Can I change which fields appear on each card? Yes. Business admins can configure this per client under Business → Customize → Card display. Changes apply to both the kanban cards and the Contacts list rows for that account.

Live updates

The board updates itself. New contacts and edits made anywhere - a web form, an import, a teammate, an automation - appear without refreshing the page. During large imports the updates are batched so the board stays responsive instead of flickering on every row.
