A team calendar with bookings, events, and external sync.

The Calendar shows every appointment, booking, and external event in one unified view. It opens in Week view and lets you switch to Month view.

Calendar Views

  • Week View (default) - A seven-day grid with each hour broken out in side-by-side columns. Use it to inspect availability and click a specific time to add an event.
  • Month View - A high-level monthly overview. Best for spotting long-term trends, holidays, and major project milestones.

Creating and Managing Events

Click any empty time slot in the grid to open the event creator, or click the New event button in the top right.

Event Configuration

  • Title & Location: Set a clear title and specify the location. This can be a physical address (linked to maps), a video conferencing link (automatically generated if integrated), or a phone number.
  • Timing: Set start and end times. Myra automatically handles timezone conversions and displays familiar abbreviations such as EST/EDT, PST/PDT, BST and CEST instead of GMT offsets.
  • Attendees: Add internal team members or external contacts. External attendees will receive an email invitation with an .ics file attached.
  • Linked Records: Attach the event to a specific Contact or Deal. This ensures that the meeting appears in that record's activity timeline.
  • Reminders: Configure multiple reminders (e.g., 24 hours before via email, 15 minutes before via SMS).

Your default booking link (/book/<slug>) is configured in Settings → Booking and is live across all your locations. This link is never replaced and always reflects your primary availability.

Additional Calendars

Beyond the default booking link, you can create specialised booking calendars in Settings → Booking → Additional calendars. Each additional calendar has its own:

  • Slug - a unique public URL (e.g. /book/team-intro)
  • Duration - the appointment length
  • Buffers - before/after padding to prevent back-to-back bookings
  • Colour - for easy identification in the calendar grid
  • Assigned members - one or more team members whose availability is used

Booking types available

Type How it works
Individual Standard one-to-one booking with a single assigned member.
Round-robin (weighted) Distributes bookings across assigned members. Each member can be given a relative weight so higher-capacity team members receive proportionally more bookings.
Collective All assigned members must be free at the same time. The slot is only offered if every member is available.
Pooled A random available member is selected for each booking. Useful when any member can handle the appointment and you want to balance load without strict weighting.
Class / Group Accepts multiple attendees up to a defined capacity. Ideal for webinars, group consultations, or training sessions.

Each additional calendar is independently configurable and appears as its own bookable page. When an additional calendar is selected in a form question or ending screen, the form uses that calendar's public slug, duration, booking type, and assigned members rather than falling back to the default booking link.

External Sync (Google Calendar)

Bridge the gap between your personal and professional life by connecting Google Calendar in Settings → Integrations → Calendars.

How Syncing Works

  1. Outgoing: Events you create in Myra appear on your external calendar instantly.
  2. Incoming: Events from your external calendar appear in Myra. You can choose whether these details are private (showing only as "Busy") or visible to your team.
  3. Availability: External "Busy" slots automatically block your booking availability on public-facing booking pages, preventing double-bookings.
  4. Two-Way Flow: Edits made in Google Calendar (like changing a time or description) flow back into Myra automatically.

Microsoft Outlook: Native Outlook OAuth calendar sync is not yet available. It is planned for a future release. In the meantime, you can export .ics files from Myra for manual import into Outlook.

Availability and Conflict Resolution

The system acts as an intelligent gatekeeper for your time. When booking on behalf of a team member, the system cross-references their connected calendars and refuses to allow double-bookings unless an admin overrides it.

Manual Busy Blocks

Use "Busy" blocks to protect time for deep work, lunch, or other commitments. These blocks are respected by the automation engine and the public booking widget.

Best Practices

  • Buffer Times: Always configure 10-15 minute buffers between meetings in your Calendar Settings to avoid back-to-back fatigue.
  • Color Coding: Assign different colours to different additional calendars (e.g., blue for Sales calls, green for Onboarding sessions) to make the grid readable at a glance.
  • Sync Primary Only: To avoid clutter, only sync your primary work calendar rather than every shared personal calendar you might have.

Common Pitfalls

  • Timezone Confusion: Always double-check your workspace default timezone in Settings. If this is wrong, all your calendar slots will appear shifted for clients.
  • Private Events: Remember that if you sync a personal calendar, the titles of your events might be visible to team members unless you set them to "Private" in the integration settings.

FAQs

Can I connect more than one external calendar? Yes. You can connect multiple Google accounts and choose which ones contribute to your availability.

How do I handle recurring meetings? When creating an event, select the "Repeat" checkbox. You can set it to repeat daily, weekly, monthly, or on custom intervals.

Can I see my tasks on the calendar? Yes, any task with a "Due Date" and "Time" assigned will automatically appear as a calendar item.

Can I offer a booking page that requires the whole team to be free? Yes - create an additional calendar of type Collective and assign the relevant team members. A time slot is only offered when all of them are available simultaneously.

Appointment outcomes

Open any appointment and set a Sales outcome. Outcomes are grouped so they match how a sales team actually works:

  • Closed, Deposit Made, Deal Pending
  • In progress: Follow Up Booked, Follow Up Later
  • Closed lost: Lost, Disqualified (DQ)
  • Did not show: No Show, Cancelled
  • Other: Rescheduled, Refunded

Depending on the outcome you can record:

  • Retainer amount and Paid-in-full amount - useful for welcome emails and payment links
  • Cash collected and Deal value
  • Opportunity value - the potential close value for follow-ups; it keeps the contact's opportunity value up to date until the deal is closed
  • Follow-up date and notes

Every saved outcome is written back to the linked contact as an activity note.

Outcome rules (automatic stage moves)

In Settings > Booking you can map each outcome to a pipeline stage. When an appointment is marked with that outcome, the linked contact automatically moves to the chosen stage. Leave a row as "No stage change" to disable it.

Book a Calendly appointment from inside Myra

If a Calendly account is connected, you can book real appointments without leaving the CRM:

  • Calendar → Add event → Calendly tab — choose one of your connected Calendly event types, pick a time from the host's live availability (which respects their connected Google Calendar) and confirm.
  • Contact → Book — the same flow from any contact record, with their name, email and phone pre-filled.

Bookings are created directly in Calendly, so the host is notified as usual, and the appointment syncs back into the Myra calendar automatically.

Route Calendly bookings to a pipeline stage

In Settings → Calendly → Event types & pipeline stage you can pick, for each Calendly event type, the pipeline and stage a booking should land in. When someone books that event type:

  • a brand-new contact is created directly in that stage, and
  • an existing contact is moved to that stage automatically.

Leave an event type on Default to keep the old behaviour (the "booked call" stage of the contact's pipeline).

Contacts are matched on email and phone number before anything is created, so re-bookings — or someone booking with a second email or number — never produce a duplicate contact.

Date of outcome

When you log a call or appointment outcome there is a Date of outcome field. It defaults to right now, but you can change it — useful when you are backlogging outcomes days later, so reporting still counts them on the day they happened.

Mapping Calendly booking questions to contact fields

In Settings → Integrations → Calendly → Event types, the Booking question → contact field section lets you send an answer from your Calendly booking form straight onto the contact record.

  • Match a question either by its wording (e.g. phone) or by its position on the form (#1 for the first question).
  • Choose the contact field it fills: phone, email, name, notes, or any custom contact field.
  • A mapped phone answer always updates the contact's number, so a rebooking with a new number keeps the record current. Other fields only fill in blanks so existing data is never overwritten.
  • If no contact matches the booking, a new one is created with the mapped values already populated.
